Cambridge Folk Club Privacy Policy

On 25th May 2018 the General Data Protection Regulation (GDPR) comes into force. This regulation requires that not only must it be certain that an individual has given consent for their personal data to be stored but it must be made clear how that personal data is used and stored. The Cambridge Folk Club has always been careful with any personal data held and this policy sets out how we do that.

Personal data held, how we use it and how long we keep it


Individuals on the mailing list:

Name and email address: This is used to email newsletters and information to that individual and will not be shared with a third party. We keep this data until the individual opts out of the mailing list by clicking on the “unsubscribe from this list” button on the newsletter and information emails.


Members:

Name and email address: This is used to email newsletters and information to the member.

Date joined or renewed.

Postal address (Only members who paid for membership online or who opted to give postal address when joining or renewing): This is only used to send membership cards by post or if there is a problem with the email address.

Phone number (Only members who opted to give phone number when joining or renewing): This is only used if there is a problem with the email address.

The above data will not be shared with a third party.

This data will be kept for 6 months after membership ends to allow for renewals.

Phone number (optional):

Order number:

PayPal transaction number:

This data is required to process the ticket order. The data will not be shared with a third party. The phone number if provided will only be used if there is a problem with the order. We do not have access to credit or debit card details which are held securely by PayPal.


Security

The data is held at a location remote from the venues used by the Cambridge Folk Club. Electronic data is password and firewall protected.
